I. Privacy Policy
- This privacy policy (the “Privacy Policy”) contains information regarding the processing of personal data collected in connection with participation in the FBE Intermediate Meeting organized on October 5-7, 2023 (the “Intermediate Meeting”).
- The administrator of the personal data collected in connection with participation in the Intermediate Meeting is the Gdansk Bar Association of Attorneys-at-law with its seat at ul. Nowe Ogrody 35, 80-803 Gdansk, which is also the organizer of the Intermediate Meeting (“Administrator” or “OIRP“).

II. For what purposes and what personal data do we process?
- The Administrator processes personal data in accordance with the Regulation of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (“GDPR”).
- We process personal data collected through the Intermediate Meeting registration form available on the website available at www.fbe-gdansk.eu (“Service”). The Service contains information about the Intermediate Meeting and allows you to register for the Intermediate Meeting.
- The Administrator processes the following personal data of users (who are participants in the Intermediate Meeting): name and surname, e-mail address, telephone number. Provision of the above data is voluntary, however, it is necessary for the conclusion of an agreement with the Administrator for participation in the Intermediate Meeting and its execution.
- Users’ personal data provided in the form and data necessary to make payment for participation in the Intermediate Meeting, i.e. bank account number, are processed for purposes related to the handling of participation in the Intermediate Meeting, as part of the Administrator’s performance of the contract for participation in the Intermediate Meeting in the Intermediate Meeting, on the basis of Article 6(1)(b) of the GDPR.
- OIRP collects and processes the following data of the user who participates in the Intermediate Meeting as a speaker: name and surname, e-mail address, telephone number, city of residence, company name, abbreviated curriculum vitae (bio), lecture title, duration, language of speech, photograph. OIRP processes the personal data of users who have applied to participate in the Intermediate Meeting
as speakers for purposes related to the speaker’s participation in the Intermediate Meeting, as part of the Administrator’s performance of the contract for participation in the Intermediate Meeting as a speaker, based on Article 6(1)(b) of the GDPR. - During the Intermediate Meeting, photo and video sessions may be conducted, in connection with which the Administrator will process your image on the basis of consent Article 6(1)(a) of the GDPR.
- Providing the following data for a VAT invoice: company name, address, postal code, city, VAT ID (optional) is necessary to issue an invoice. This personal data may be processed for the purpose of issuing an invoice on the basis of Article 6(1)(f) of the GDPR.
- The Administrator may process your data for marketing purposes directly on the basis of Article 6(1)(f) of the GDPR.
- After execution of the contract for participation in the Intermediate Meeting, the basis for data processing will be the legitimate interest of the Administrator (Article 6(1)(f) of the GDPR), manifested in the pursuit of the Administrator’s legal security.
- Your personal data may be subject to profiling for the purposes for which they were collected. However, this data will not be used by the Administrator for automated decision-making.
III. How long do we keep your personal information?
- We will process your personal data until the statute of limitations for any claims.
- We may process data processed on the basis of consent until you withdraw your consent.
IV. With whom do we share your personal data?
- The recipients of your personal data are employees and associates of the Administrator. Recipients of this data may also be entities that provide services to the Administrator in the field of Intermediate Meeting organization.
- In some cases, your personal data may also be transferred to public authorities. This will only be the case where we are obliged to do so by applicable law.

- The right to request access to the content of your personal data;
- The right to rectify your personal data: if you believe that your personal data is inaccurate or incomplete;
- The right to erasure of your personal data;
- The right to restrict the processing of your personal data;
- The right to object to the processing of your personal data: you may object to the processing of your personal data for reasons related to your particular situation. You have an absolute right to object to the processing of your personal data for direct marketing purposes, including profiling related to direct marketing. As the basis for processing may be the legitimate interest of the Administrator, i.e. the establishment, assertion or defence of the Administrator’s claims, the processing of personal data of participants submitted by another user, in order to participate in the Intermediate Meeting (Art. 6 para. 1(f) GDPR) you have the right to object to the processing of your personal data;
- The right to withdraw consent: if you have given your consent to the processing of your personal data, you may withdraw it at any time, whereby withdrawal of consent will not affect the lawfulness of the processing performed on the basis of consent prior to its withdrawal;
- The right to portability of your personal data: if lawful, you may request that the personal data provided to us be returned to you or transferred to a third party.
- We make the utmost effort to provide you with the fullest protection of your personal data in accordance with the provisions of applicable law. If you nevertheless consider that we are processing your personal data unlawfully, you have the right to lodge a complaint to the supervisory authority, which is the in Poland is the President of the Office for Personal Data Protection.
VI. Cookies
- We use technologies, such as cookies, to collect and process personal information to personalize the content of advertisements displayed on other sites and to analyse traffic on the Service. Cookies allow us to better understand how you interact with the Service. By doing so, they allow us to better organize its layout. They also collect information about the way you use the of the Website, the page from which you were redirected, as well as the number of visits and the time of your visit to individual pages. The Service’s cookies are stored on your devices automatically, if your browser settings allow it. A cookie typically contains the name of the domain from which it originated, its “validity period,” and an individual random number identifying the cookie. The information contained in cookies may be combined with other data you provide, including the e-mail address you provide. You can disable cookies in your browser settings. If you use this option, navigation on the Website will be possible, but the operation of certain features of the Website may be limited. Using the Website without disabling cookies in your browser settings will be considered as your consent to the use of cookies.
VII. Google Analytics
- The website uses Google Analytics, a web analysis service offered by Google Inc. (“Google”). The Google Analytics tool uses cookies stored on your computer and allowing the use of the Website. Information on your use of the Website as well as demographic and geolocation data as well as information about interests are normally sent to a Google server in the United States and stored there. The website uses IP anonymization. This means that your IP address will be shortened in advance by Google within member states of the European Union or in other countries outside the European Union that are signatories to the Agreement on the European Economic Area. The full IP address, before being shortened, will only be sent to a Google server in the United States in exceptional cases. Google uses the information sent to analyze for the Administrator the way you use the Website, to create reports on the activity on the Website and to provide other services to the Administrator related to the use of the Website and the Internet. The IP address identified by Google Analytics will not be combined with other data collected by Google.
VIII. Remarketing
- The Service uses remarketing tool cookies to target you with Facebook (Facebook Pixel), LinkedIn Ads and Google (Google Ad Network).
IX. Web beacons
- In addition to cookies, the Service may also collect data customarily collected by Internet system administrators as part of so-called logs or log files. The information contained in the logs may include, but is not limited to, your IP address, type of platform and browser, Internet provider, and the address of the page from which you entered the Service. Some sub-pages within the Service may contain so-called web beacons. Web beacons allow us to receive information such as, for example, the IP address of the computer to which the page on which the web beacon was posted was loaded, the URL of the page, the time the page loaded, and the type of browser.
X. IP address
- The Administrator reserves the right to collect IP addresses of visitors to the Website, which may̨ be helpful in diagnosing technical problems with the server, creating statistical analysis (e.g. determining from which regions we record the most visits). In addition, they may̨ be useful in administering and improving the Service. IP addresses are collected anonymously, which means that they are not associated with any user data.
XI. Changes to the Privacy Policy
- We may need to make changes to our Privacy Policy. If there is a change to the Privacy Policy we will inform you.
